It sounds almost comical, ghost employees. No, it's not referring to the staff who passed. This term refers to names recorded on payroll, but they do not work at the place, like at all. They could be real, actual people or they could also be fictitious characters, depending on who created the records for these spooky, non-existent employees. It is indeed terrifying when these employees can rake a lot of money from a company and even millions from a government. Bizarre? Not so.

In 2016, a Nigerian government cut nearly 24,000 non-existent workers from its payroll and saved $11.5 million a month! Iraq paid a whopping $380million a year for 50,000 soldiers who never reported for duty. Many other cases are affecting nations across the globe as well as corporate companies.

How could this happen in the first place? You might ask. Dishonest employees and corrupted civil servants pose real damaging risks to businesses and governments alike. And the primary motivation for the perpetrator(s) is money and how to get more money through illegal manners. It could be an individual effort or a collective effort to cheat a system, and the absence or the lack of detailed audit in any system elevates this further.

Is this crime preventable? It's easier to prevent if it happens in SME, smaller companies. However, it's trickier when it occurs in multinational, multibranch, labour-intensive organizations because the larger a company is, the massive the data to audit.

The good news is, every company can minimize the risk by employing this one simple yet effective tactic in operation. Before we dive into the solution, let's explore how could this ghost employee occurrence happen? Two ways, timecard falsification, and another is a ghost employee presence, where an administrator is giving an avatar or a 'life' to an ID in a system. All the perpetrator needs to do is to falsify time for this fake ID, and approves the 'work' done to get paid.

Now, let's talk biometrics.

What biometrics technology does is, it compares the recorded template of a person's biometric data with the biometric characteristic of a real person. If you have stored a fingerprint template inside a system, you would have to scan your finger for your data to be verified and recorded. There is two-step to biometric authentication. One, a person needs to register, then he/she needs to verify. Biometrics cannot skip these two steps to provide authentication. Then, apply this biometric technology to time clocking and monitoring to obtain reliable time data for reference and checking.

Through biometrics, even when an admin who is in charge of the system plans to cheat the system, he needs to figure out whose fingerprints are for which IDs and how would these ghosts come to work to record the time for payroll purposes. If the admin wants to use his fingers, the system will catch him even faster. The ghost needs to clock at the right time with the correct biometrics, and any edit on the attendance data will be highlighted accordingly to prevent data mishandling.

5 Common Attendance Cheats You Might Overlook


Under the assumption that every company has dishonest employees, businesses have to be aware of the tricks and tactics employees deploy to cheat attendance. Time cheating is a crime by law particularly when it involves civil servants. There are cases where people jailed for attendance fraud; hence employees shouldn’t take attendance cheating lightly. To avoid all forms of attendance cheating from happening, one must know the ways these people cheat.  

1. I’ll Be There For You (kinda friend)
This is perhaps the most common attendance cheat where one person clocks for his friends, who promised that he’d return the favor next time around. Because this cheat is so easily done, buddy punching is rampant amongst employees who are using punch time clock and some card systems that do not require any other authentication of the owner. Punch clock or card system is not dynamic, it cannot tell the difference between cheaters and honest workers. 

2. Touch n Go Attendance

This employee ‘clocks in’ and yet he’d go somewhere else to complete his errands and come back to clock out and get paid. Or, a company can impose a policy whereby any administrators caught jeopardizing the system could be heavily punished.

Change in inevitable and for those who refused to change will be left behind. It’s true.

I just came back from my vacation and everything was done self-service at the comfort of our own home and our own pace. Flight tickets were booked and paid online, visa applications were settled and paid online, accommodation bookings were made and paid online, our car for hire were booked and paid online, theme parks ticket were purchased and paid online; okay you get the drift of the ‘doing things online’ bit.

My point is, nowadays people are so used to doing things on their own, online, without hesitation or worry. Sync Attendance Policy With Attendance System For Better Staff Management


I have been very fortunate to have observed these “I’m gonna get sick soon” behaviors from the fellow staff over the years. Some like to cough rigorously, some sniff loudly, some pretend to blow nose using lots of tissue and many of these behaviors happened on Thursday, preferably noticeable by other colleagues. Not that I claim all who called in sick on Fridays and Mondays faked it, but I'm not wrong to assume some did. To those who do not yet get my point, those were the signals to justify their day off on Fridays. Absent on Mondays are also as regular as Fridays, if not more often. Sometimes we wonder whether these absences were genuine or they simply cited acceptable excuses like medical, personal or family matters to fake a legitimate absence.  



Simply put, absences on Mondays and Fridays will give an absentee a 3-day weekend. Inquiries on those absences from the managers have to be carried out delicately to avoid any risks of lawsuit to the company. However, there are steps that could be taken to minimize these preventable absences before it becomes chronic and impacting negatively on the company’s operation.

Written and enforced employee attendance policy is very important even for companies with small operations. While some companies want to appear lenient and providing flexibilities, these flexibilities could turn out to be opportunities for abuse. And this could affect the entire company’s discipline and productivity.

Some pointers when preparing the employee attendance policy should include first and foremost the employee work days and work hours. Specify when are the company’s workdays? When are the off days? When is the start and stop time of work hours for all employees? What are the exceptions? Does your company offer multiple breaks? What is the duration for each? Do you provide any leeway for breaks? How the attendance data is going to be collected? What’s the sign in and sign out procedure?

The staff needs to know what the company means by late for work. Detail it out in the company attendance policy. Does the company provide buffer zone? If yes, what’s the duration? Say for example, the working hour starts at 9:00, and the buffer zone is 15 minutes. When an employee signs in at 9:13, he will still be considered on time. Only when he arrives at 9:16 will he be considered as late. What is the cut off time before an employee is considered absent? All these policies have to be stated clearly and understood by all employees.



A company, regardless of its size, has to also define leave benefits and holidays clearly in its attendance policy. Clear description of paid and unpaid leave including what qualifies an employee to take what kind of leave must be explained to the T. How many days can a staff take a sick leave? When shall the medical certificate be sent to HR? What type of clinic is acceptable? Can a staff call in sick and rest and home? Type of holidays approved by the company and whether the holidays are paid or unpaid must also be ascertained to avoid confusion.

Apart from detailing out the policy, a company needs to pay attention to the process that is to be followed for violations of employee attendance policies.
